6. Sending
and receiving diskettes
6.1 Sending diskettes
When you are ready to send claims to OHIP, go to the main menu, click
on the More button, then click on the Send Disk [Submit] button.
The Create Disk window will appear. If more than one providers are using
your system, you must select the appropriate provider. To do this, click
once inside the Submit Claims For combo box and then on the small arrow.
Then select the provider by clicking on his/her name(see Section 3.7
for information on using combo boxes).
For Submit Method, "3.5" Disk(s)" is already entered by default.
If you are billing by EDT, click on the small arrow on the right hand
side of the Submit Method, box, then click once on "EDT".
Insert a diskette into your floppy disk drive, then click on the Start
button. SureClaim will write the claims onto the diskette. When it finishes,
your diskette will be ready for submission.
6.2 Receiving diskettes
To read a diskette you have received from OHIP, go to the main menu
and click on the More button. Then click on the Got Disk [Reconcile]
button. Insert the diskette into your computer, then click on the Start
button.
After a few seconds your reconciliation information will be displayed.
The information is actually contained on four pages, each with an index
tab at the top. To read each page, simply click on the appropriate tab.
6.3 Resubmitting a claim
If you wish to resubmit a claim that was earlier rejected, go to the
main menu and click on the Claims button. This will open up the Claims
window. Click once on the Outstanding Claims index tab near the top
of the window. You will see a list of all claims previously submitted
but not accepted by OHIP. To resubmit any of these claims, select the
account number by clicking once on it, then click on the Re-submit Claim
button. This adds the claim to your list of pending claims, which you
can view by clicking on the Pending Claims index tab.
If you click the Close Account button, the claim will be removed from
the outstanding claims list and it will be saved in the Patient's history.
7. Electronic data transfer
SureClaim is equipped to perform electronic data transfer (EDT) without
the need for additional software. However, you must have a modem, a
Datapac account with Bell Canada and an EDT account with the Ontario
Ministry of Health.
HYPE Sytems will guide you through
the process of obtaining these accounts - call 1-800-592-2138.
Please note that although we will assist with the application process,
the Datapac and EDT accounts are in the user's name and you will be
required to do some paperwork yourself.
8. The appointment book
8.1 Changing the size of time slots
The appointment book is preset to 30-minute time slots. However, 10,
15, 20 and 60 minute time slots are also available. To switch to one
of these, first open the appointment book by going to the main menu
and clicking on the Appointments button. If you click repeatedly on
the leftmost button at the bottom of the Appointments window, you will
be able to select between the various options.
You can also create a single time slot shorter than all the others -
for example, you can keep an hourly time slot format but create just
one half-hourly slot at, say, 3:30 pm. To do this, click once on the
time slot (in this example, click where it says "3:00 PM"). Then click
on the Insert Time Slot button. The 3:30 slot will appear. If you click
once again on "3:00 PM" and click on the Insert Time Slot button, you
will get two 15-minute time slots, and so on.
8.2 Booking an appointment
To book an appointment, go to the main menu and click on the Appointments
button. The Appointments window will appear with the current day selected
automatically.
If the appointment you are booking is on a future day, click once on
the small arrow near the top of the window. A month-by-month calendar
will appear. To select another month, click on one of the two small
arrows at the top of the calendar box. To select a particular day of
a month, click on it once - a green oval will appear over it, indicating
that it has been selected. When you have the desired date, click on
the Okay button.
To create the appointment, click on the Patient I.D., Patient and Nature
of Visit boxes in the desired time slot and type in the details. Only
the Patient box needs to be filled in for the appointment to be saved.
The Nature of Visit box becomes, when clicked on, a combo box with a
small arrow. If you click once on this arrow, you can select one of
six standard entries (see Section 3.7 for more information on using
combo boxes).
After you have entered the appointment(s), click on the Close button
to save the information.
8.3 Changing a patient's appointment time
If you have already entered an appointment and wish to move it to another
time slot, simply click on the patient's name, hold the mouse button
down, and move the mouse pointer to the new time slot. When you release
the mouse button, the patient's name will remain in the new time slot.
You can also change an appointment time by manually deleting the information
with the backspace key.
8.4 Deleting an appointment
To delete an appointment, select the patient's name by clicking on it,
then click on the Delete Appt button.
